Administration Manager
The Role
Administrative and Travel Manager is responsible for organizing all of the administrative activities that facilitate the smooth and efficient running of Sandvik Moscow office (including support to Production Unit) as well as for travel coordination of Russia personnel, coordinating administration duties and office procedures, creating and maintaining a pleasant work environment, ensuring high levels of safety, organizational effectiveness and communication, making sure that office equipment is maintained, all administration processes work effectively, providing general administrative support to employees as well as supervising the work of administrative team of staff.
Key Activities and Responsibilities
- Developing and implementing administrative systems, such as record management, travel management, taxi management, etc.;
- Recording office expenditure and managing the budget (administrative budget owner), ensuring accurate and timely reporting;
- Organizing the office layout and maintaining supplies of stationery and equipment;
- Maintaining the condition of the office and arranging for necessary repairs;
- Managing activities on amenities, cleaning and planting of the office and site territory.
- Participating in planning of running and capital repairs (buildings, water-supply facilities, air-supply etc), supports in interiors setup, builds up and controls budgets.
- Addressing and responding to employees’ enquiries and complaints regarding office management issues (e.g. stationery, travel arrangements, etc.)
- Support in scheduling and organizing meetings and appointments;
- Visa and travel coordination support;
- Providing general support to visitors;
- Supervising administrative team;
- Ensuring adequate administrative staff levels to cover for absences and peaks in workload by using outsourcing agencies;
- Providing substitution of personnel within department by means of training and task allocation
- Managing administrative staff workload and output;
- Carrying out administrative staff appraisals, managing performance and disciplining administrative staff;
- Promoting administrative staff development and training;
- Reviewing and updating local travel policy in accordance with Sandvik global travel policy updates and local legislation requirements ( together with HR)
- Partnering with HR to update and maintain office policies as necessary;
- Organizing office operations and procedures;
- Coordinating with IT department on all office equipment and processes (incl, but not limited to electronic access to premises, travel, logistics, visa arrangements, internal reception mailbox etc.);
- Managing contract and price negotiations with office vendors, service providers (stationary, office equipment, courier services, taxi, other office supplies and services) and office lease.
- Managing a rent of empty office spaces (if any) for external tenants
- Ensuring that all items are invoiced and paid on time;
- Assisting in the onboarding process for new hires with administrative issues;
- Liaising with facility management vendors, including cleaning, logistics, catering and security services etc;
- Planning and organizing activities, like celebrations, corporate events, and conferences, etc. .
Your Profile
- Higher education
- Fluent English is a strong plus
- At least 5 years of proven experience as an Administrative or office manager in international environment
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- People management skills
- Excellent time management skills and ability to multi-task and prioritize work
- Ability to arrange processes efficiently

- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
