About the role

We started impetuous scaling in Q2 2021. For this reason, it is crucial to support the CEO in his multi-activities.

Executive Assistants (EA) to the CEO at Arloid is a lifestyle manager who works behind the scenes to keep the CEO’s activity organised, punctual, and productive. She/he juggles multiple hats for her/his boss. An EA can act as an executive secretary, personal advisor, event planner, or guide on any given day. He/his primary mission is to make sure everything that needs to happen for her/his client gets done. An administrative person who has “jack-of-all-trades” abilities, patience, and a keen sense of detail can succeed in this field. These full-time work hours, but in reality, live on call 24-7. Frantic day-to-day duties make the role of an EA at Arloid potentially exhausting. However, the perks and unique opportunities that come with the job can make it highly rewarding as well.

Mission

Troubleshoot and handle the CEO’s daily needs that allow the CEO to focus his efforts on developing the product and scaling the business.

Main functions

  • Manage Incoming and Outgoing Communication: EA makes and receives phone and online calls, sends emails, writes letters, and posts social media updates on behalf of the CEO. EA plays the extremely important role of “gatekeeper” and tightly controls who gets access to her/his client;

  • Searching: an Internet search is a fairly significant part of the EA’s work. It is necessary to find a particular object on the Internet and convince the CEO that it is more suitable than others. Fast searching and deep analytics must be EA’s strength;

  • Oversee Scheduling and Calendar Appointments: Making sure her/his employer’s daily schedule is tightly organised is a key task for EA. She/he makes appropriate appointments with customers, partners, team members, service providers, authorities, and even family members. EA also sends critical appointment reminders to make sure the CEO is on schedule;

  • Event Planning and Coordination: Coordinating logistics for various scenarios such as meetings, negotiations, online conferences, travels (itineraries, tickets, accommodation, transportation, expenses reports), press appearances, parties, lunches/dinners, and vacations are typical for this high-powered EA. The CEO may also ask her/him to participate in any events mentioned above;

  • Handle the CEO Representation: EA is the “voice” of her/his client and must use persuasiveness to meet the CEO’s needs. EA directly represents the CEO’s interests globally with business partners, colleagues, service providers (insurance companies, car service centres, landlords, facilities management companies, Internet and mobile providers, hairdressing salons, etc.), authorities, schools, financial professionals, and lawyers, on the phone or online or in-person;

  • Visas Support: EA supports the CEO and some people in getting visas. It includes opening and cancelling visas, arranging authorities registrations and completing other official procedures;

  • Perform Life Maintenance Tasks: EA completes everyday tasks on behalf of the CEO, such as interacting with fitness and private clubs, GPs and hospitals, reading mail, paying bills, purchasing, and bookings. Household management tasks such as maid control or look after pets can also be requested of her/him;

General Requirements:

Education: Bachelor’s degree.

  1. Skills & Experience

  • 3+ year of experience in assistance.

  • General requirement: A highly organised person with a proactive work ethic who enjoys juggling multiple hats and persuading others can thrive as EA in Arloid;

  • Communication skills: EA is an excellent specialist in written and verbal interaction. A significant part of her/his job includes communication and coordinating with various individuals that influence or play a part in her/his employer’s career;

  • Administration skills: administrative skills are a must for EA that to manage the CEO’s calendar and quickly shift priorities as needed;

  • Research skills: EA is often asked to research and locate hard-to-reach information. The successful assistant knows how to track down hard to find information;

  • Computer skills: must-have computer skills for EA include the ability to set up and maintain email accounts, digital calendars, save documents in online storages, and more. Sometimes EA doesn’t have a static working environment because she/he travels often. However, EA should be comfortable using the following software and tools on a typical workday: Internet Searching Machines (Google, Yandex), Microsoft Office (Excel, Outlook, PowerPoint, Word, SharePoint/OneDrive), Social Media Marketing Tools (LinkedIn, Instagram, Facebook, Twitter, YouTube), features of MacBook and iPhone;

  • Event planning: the ability to coordinate meetings, conferences, events, parties and other gatherings of people online and offline;

  • Interpersonal skills: the ability to negotiate with people and find a solution in favour of the employer in the most challenging situations is the EA’s essential skill;

  • Physical requirements: sometimes, good physical fitness is required to move, lift and travel long distances in different time zones.

Specificities:

  • High pressure and tension because Arloid is a fast-scaling start-up;

  • A working day starts at 7 am by reason of multi-time-zones;

  • Always be reachable by phone (24/7).
