Job Description

POSITION PURPOSE: To provide a first class, front of house service, for all Customers and Visitors to the Campus. This will also include Campus related administration tasks as detailed below

RESPONSIBILITIES:

  • Meet and greet visitors, which include visitors attending simulator training sessions, classroom delegates, contractors and other visitors. Giving directions accordingly to the appropriate area of our facilities and information regarding H&S and the weekly fire alarm testing etc.
  • To operate the reception switchboard, dealing with all customer enquiries or putting them through to the appropriate person in a timely manner.
  • Initial ID checks must be carried out with all visitors to the Campus, this includes taking photo identification and recording the details. ID passes need to be prepared and issued with the correct security access levels and this is logged on our security system. This system will be updated at the end of each visit to ensure all access levels are correct at all times. All ID passes for new employees, existing or replacement passes are handled in the same manor. The housekeeping of this system is to be done on a daily basis.
  • Operating any main car park barrier system using the CCTV and changing and updating the server and security data tapes. Ensuring the security system is used in line with the requirements of IT.
  • Overseeing and issuing the locker and campus keys.
  • Assisting with the weekly fire drill and safety testing.
  • Liaising with the Security Guards at handover to ensure they have all the relevant information needed for their night shift.
  • Handling all internal enquiries/requests sent to the group email inbox or via telephone in a timely manner.
  • Act as a point of reference for all cleaning issues and handling all vending machines and water cooler requirements, which include: replenishing of water cup holders, ordering new supplies and replenishing accordingly.
  • Daily checking of our briefing and classrooms providing necessary stationery as required and reporting any faults/problems.
  • Overseeing and monitoring the stationery for the Campus ensuring competitive quotations are sought when ordering and replenishing stock.
  • Handling all external enquiries/requests sent to the group email inbox or via telephone in a timely manner.
  • Sending and receiving emails and faxes, photocopying, raising purchase orders, requests for taxis and general filing duties.
  • Sort and distribute incoming post and fully oversee the daily outgoing post collection including signing for all deliveries and making the arrangements for special collections i.e. courier requests.
  • Each shift will end with a documented handover for the next team member to utilise.
  • Other general administrative duties as required from time to time.
  • To ensure that all hotel and transport bookings are made in a timely manner and are confirmed to the customer. All information is recorded and updated accordingly.
  • To reconcile statements/invoices against the related expenditure i.e. hotels, transport, stationery etc. using the information held in our systems and resolving any discrepancies as they arise.
  • Preparing Visa invitation letters as requested to the relevant Embassy, following up the process to the Customer and ensuring that all information is documented in the correct systems.
  • Updating and reviewing or assisting in new Working Instructions for the GSR role in conjunction with other team members and Manager as and when required.
  • Training new members of GSR staff.

Competencies & Skills:

  • Good basic verbal and written communication skills and a good command of English. Comfortable using a variety of methods i.e. face to face, email and telephone. Effective presentation to both internal and external customers. Must be able to record information accurately and concisely.
  • All responses to customer concerns are courteous, efficient and timely. Keeps customers informed of developments, progress and conclusions. Maintains a professional attitude at all times.
  • Enterprise / Resourcefulness: Partners effectively with other team members to deliver customer requirements.
  • Organisation and Accomplishment: - Prioritises tasks and takes appropriate steps to execute these within the time frames. Ability to multitask. Willing to consistently ask for help or seek out the capabilities of others. Flexible and adaptable.

Qualifications:

  • Work environment: Fast-paced, general reception environment.

Experience & Education:

  • Must be able to speak, understand, read and write English and Russian; be able to communicate clearly and accurately using both verbal and written communications.
  • Proven front of house customer-support related experience preferred
  • Can demonstrate previous experience of coping under pressure, providing a professional service at all times, ability to work unsupervised but also be a team player and seek opportunities to exceed the customer’s expectations
  • Proven working knowledge and understanding of e.g. Excel, Word, Outlook, Adobe Reader, Power Point and must have the ability to learn in house systems
  • Aviation training experience preferred
  • Bachelor degree preferred.
