Job Summary
The role reports to the Head of Ad & Special Projects Sales and supports Special Projects / Sponsorship business in regards to commercial projects execution.
Responsible for coordination and support of commercial online/on air/ social media/ on-the-ground/ multiplatform special projects execution.
Together with Ad Sales Account Executive serves as first point of contact for all internal VIMN sponsorship queries, supporting the execution process with project teams and supervising all relevant contractual documents for special and sponsorship projects.
Also provides general support to the whole Ad & Special Projects Sales team with pitches, creating ideas for projects, presentations and managing client documents and post campaign reports.
KEY RESPONSIBILITIES
Ad & SPECIAL PROJECTS
Day to day monitoring of all sponsor campaigns to ensure both Clients’ and Viacom targets are met.
Develop good relationships with Media Agencies Sponsorship Departments and Clients.
Meet sponsorship margin targets by building partnerships and support in the negotiations process with Production Companies.
Arrange on-air, digital, social media, OTG, POS materials production for sponsors.
Managing competition winners’ travel, entertainment and prizes delivery meeting project margin targets.
Responsible for administration of special projects / sponsorship sales tools – such as presentations and sales packs.
Manage all Sponsorship post campaign analysis to ensure timely feedback to clients.
Work closely with the Strategy & Research team to obtain all relevant results data for all sponsorship campaigns, compiling various sources.
Administering all relevant paperwork and contractual documentation in relation to Ad & Special projects Sales, including campaigns, contests, and events.
Administering and support to the winners of contests, including personal income tax matters, prize claims and relevant Acts signatures.
Support with brainstorms with Channels Marketing teams to find the best solutions for Special Projects implementation, including finance & compliance matters.
VIMN INTERNAL SPECIAL PROJECTS & SPONSORSHIP QUERIES CONTACT PERSON
Together with Ad Sales Account Executive serves as first point of contact for wider Viacom team regarding sponsorship queries.
Attend weekly calls with the global team and with the Head of Head of Special Project Sales, write up and circulate minutes. Update and monitor special projects Pitch tracker.
DOCUMENTS AND REPORTS
Produce regular reports for Head of Ad & Special Projects on the performance of projects.
Assist with sponsorship agreements being a point of contact for the legal and finance team, ensuring agreements are prepared in a timely manner and Russian translations are accurate.
Creating and updating tracking documents (set up suppliers, raise Purchase Orders and track timely payment of invoices).
Maintain constant cooperation with outsourced Accounting team, including preparation of each projects’ documents, control over the document flow and payment terms.
